Our Annual General Meeting is held once a year and gives members an update on the Club, including our annual report and financial statements.

It’s also an opportunity to discuss Club business and elect members of our Board of Directors.

The AGM gives our members the opportunity to stay informed and involved in the Club.

It’s a chance to look back at the year, hear what’s happening around the Club, raise general business and help shape the Club moving forward.

Nominations for the Board have closed this year.

Nominations close at 6:00pm on Monday 12 October 2026, which is 28 days before the AGM.

Make sure your nomination and required documents are submitted before the deadline.

The meeting will cover:

1. Opening and apologies

2. Confirmation of the previous AGM minutes

3. Financial statements and the Annual Report

4. Any motions submitted in accordance with the Club’s rules

5. Annual subscriptions and joining fees

6. General business

7. Election of Board members

8. Close

Proposed New Electronic Voting Rules:

53.10 Notwithstanding anything contained in subrules 53.3 to 53.6 (both inclusive), the Board may use or adopt an electronic voting system or other electronic means of voting which is:

a. private and confidential;

b. allows the Returning Officer and any scrutineer or auditor to verify the electronic votes of members;

c. allows the Returning Officer to comply with subrule 53.9; and

d. does not breach any provision of the Associations Incorporation Reform Act 2012.

53.11 If any member has not provided their email address to the Club for electronic voting purposes then the Secretary (or the Secretary’s delegate) shall provide that member with a physical ballot paper in accordance with subrule 53.4.

Reason for Change:

The current version of the Rules does not provide for any form of electronic voting. The proposed new rule will allow for electronic voting by members who provide an email address for that purpose. Members without an email address will still be able to vote by physical ballot paper and post.

Proposed correction of a typographical error in Rule 53.9

That the expression “... (subject to paragraph (g) herein)...” be changed to “... (subject to subrule 53.6 herein) ...”

Reason for Change:

The 2013 former version of the Rules used letters (e.g. (a), (b), (c), etc.) to distinguish paragraphs within a Rule. The above reference to paragraph (g) was overlooked when paragraphs later became consecutively numbered and when paragraph (g) became subrule 53.6. There will not be any change in meaning or substance if this resolution is adopted.

The 2013 former version of the Rules provided for the Board to comprise 3 office holders plus 4 members = 7 committee members. The former provision about “four” ordinary members appears to have been overlooked in the current rules. The proposed resolution restores the original (and the prevailing) composition of the Board.
